Construction job costing software

See margin risk before the job is over.

ProBuilder OS Pro and Business connect category budgets and project cost records to contract value, approved changes, and client collections. Authorized owners, admins, and assigned project managers can distinguish open commitments from actual costs, record paid amounts, and review forecast direction while there is still time to respond.

  • Compare category budgets with actual costs and open commitments
  • Record labor, materials, subcontractors, miscellaneous costs, and paid amounts
  • Review project and company earnings views, then export a project ledger to CSV

Protect project profit

Month-end accounting is too late for operational decisions.

Accounting tells you what was recorded. Job costing should help the project team understand what the job is doing now. When scope changes, delayed payments, vendor spend, and field progress live apart, the owner cannot see margin drift until recovery options are limited.

01

Project economics stay visible

See projected revenue, collections, receivables, actual cost, open commitments, forecast final cost, gross profit, and forecast margin together.

02

Changes include consequences

Track change-order value, status, description, and schedule impact with the same job that absorbs the work.

03

Cost status stays explicit

Keep committed work separate from incurred actual cost, then record the amount marked paid on each actual-cost entry.

Connected capabilities

Everything important stays attached to the work.

Use focused workflows for each responsibility without creating another isolated source of truth.

01

Category budgets

Set separate labor, materials, subcontractor, and miscellaneous budgets, then compare budget with forecast cost and variance.

02

Committed and actual cost ledger

Record each project cost as an open commitment or an actual cost with its category, description, vendor or payee, date, amount, reference, and notes.

03

Paid-cost and labor detail

Record unpaid, partially paid, or paid amounts on actual costs. Labor entries can use a fixed amount or quantity multiplied by an hourly, daily, or unit rate.

04

Project earnings report

Review projected revenue from the original contract plus approved changes, recorded collections, receivable, forecast final cost, forecast gross profit, and margin.

05

Company earnings view

Owners and admins can review earnings across company projects; assigned project managers see only the jobs within their authorized scope.

06

Project-ledger CSV export

Export an authorized project cost ledger with cost status, payment status, vendor or payee, labor detail, amounts, source reference, and notes.

Financial operating rhythm

Connect what the field is doing to what the job is earning.

Useful job costing is not a once-a-month report. It is a recurring project-management discipline.

Start this workflow in ProBuilder OS
  1. 1

    Establish the baseline

Allocate the project cost plan across labor, materials, subcontractors, and miscellaneous work.

  2. 2

    Record commitments

Enter ordered or contracted work as committed cost, including the vendor or payee and an optional source reference.

  3. 3

    Update actual and paid cost

Change the record to actual when the cost is incurred, then record whether none, part, or all of that actual cost has been paid.

  4. 4

    Review and export

Compare budget with actual plus commitments, review project and company forecast earnings, and export the project ledger when a CSV is needed.

Questions, answered

What contractors should know.

What is construction job costing software?

Construction job costing software organizes revenue and project-specific costs so a contractor can understand the financial performance of each job. Useful systems separate categories such as labor, materials, subcontractors, and other expenses while tracking contract changes and payments.

Does ProBuilder OS replace accounting software?

No. ProBuilder OS provides user-entered operational project cost and earnings reports. It does not perform accounting, payroll, tax, accounts payable, or bank reconciliation, and it does not currently synchronize with QuickBooks or another accounting system. Authorized users can export a project cost ledger to CSV for separate review.

Can it track change orders?

Yes. Current project records can track the change title, description, cost impact, schedule impact, and approval status alongside the project’s overall change-order value.

Can I see project margin?

Yes. The project report calculates forecast gross profit and margin from the original contract plus approved changes, less actual costs and open commitments. The result depends on the operational records your team has entered and is not an audited financial statement.

Which plans include the project cost ledger?

Pro and Business include category budgets, detailed committed and actual cost records, paid-cost tracking, project and company earnings views, and project-ledger CSV export. Solo retains basic project payment and expense totals without the detailed ledger controls.
