From scope to signed work

The estimate is not a standalone spreadsheet.

A construction estimate influences the sale, the client’s expectations, the production budget, and the eventual margin. When scope notes live in one place and pricing in another, teams lose assumptions, duplicate data, and struggle to explain revisions.

01

Scope stays connected

Start from a real opportunity with the client, project type, location, and budget context already available.

02

Pricing stays intentional

The estimator sets the exact project total while detailed scope, inclusions, exclusions, and clarifications explain what that price includes.

03

Documents look professional

Present company and client details, scope, one total price, custom payment terms, exclusions, and proposal acceptance in a polished document.

Connected capabilities

Everything important stays attached to the work.

Use focused workflows for each responsibility without creating another isolated source of truth.

01

Detailed scope of work

Write the client-facing scope directly or, in an eligible Pro or Business workspace participating in the controlled rollout, start with an optional AI-assisted draft and review it before use. Separate inclusions, exclusions, and clarifications without exposing internal cost or margin calculations.

02

One total project price

Enter the complete proposal price directly. ProBuilder OS preserves that exact number from proposal approval through project handoff.

03

Flexible payment schedule

Add, remove, name, price, and describe payment entries so the schedule matches the way your company intends to bill.

04

Estimate status

Track draft, sent, approved, rejected, and expired proposals. Create review-required revisions while preserving each original proposal.

05

Professional output

Create a printable proposal with a true cover page, contractor and client details, scope, payment terms, and exclusions. Issue a complete version for authenticated client acceptance and a downloadable signed receipt.

06

Lead connection

Keep the estimate attached to the sales opportunity and visible from the customer’s lead history.

A cleaner estimating process

Define the scope, set the total, and present it clearly.

A repeatable estimate workflow makes review easier for the team and the decision easier for the client.

Start this workflow in ProBuilder OS
  1. 1

    Confirm the opportunity

Start with the client, project, budget, and qualification record instead of rebuilding the basics.

  2. 2

    Build the proposal

Write the detailed scope—or, where the controlled rollout is enabled, generate an optional AI-assisted starting draft for contractor review—enter one total project price, and create payment entries that equal that total exactly.

  3. 3

    Review scope boundaries

Make inclusions, exclusions, site conditions, responsibilities, and unresolved selections explicit before the document leaves the office.

  4. 4

    Issue the exact version

Freeze the completed proposal for authenticated client review. Acceptance binds to that exact version, creates a signed receipt, and requests a separate construction agreement rather than replacing one.

The operating difference

Make every estimate easier to review and easier to hand off.

Questions, answered

What contractors should know.

Can ProBuilder OS create residential construction estimates?

Yes. The current workspace supports residential project context, detailed scope, one total proposal price, custom payment schedules, inclusions, exclusions, clarifications, statuses, printable documents, secure client acceptance, and signed receipts. Eligible Pro and Business workspaces in the controlled rollout can also generate an optional AI-assisted scope draft that the contractor must review and edit before use.

How is the proposal price set?

The estimator enters one exact total project price, then creates fully editable payment entries that must add up to that total before the proposal can be sent.

Does ProBuilder OS calculate takeoffs or material and labor costs?

A limited takeoff pilot can suggest selected door, window, and plumbing-fixture counts from a contractor-confirmed plan region, with every result requiring review. It does not yet provide a complete plan takeoff, linear or area measurement, or labor and material cost calculation. The estimator completes the company's pricing and enters the exact total.

Is estimating connected to the CRM?

Yes. Proposals are created from qualified leads and remain visible from the lead record, keeping sales activity, scope, customer information, total price, and payment terms connected.
